GROUP BOOKINGS :
If you have booked as part of a wedding group, please refer to the Group Booking Terms and Conditions as detailed on the wedding website.
CONFIRMATION AND DEPOSIT POLICY FOR TRAVEL PACKAGES:
Prices in quotes are not final and are subject to availability. We will send an invoice/confirmation form showing the confirmed services with the final price. Attempt to confirm any request will be made only upon receipt of a deposit of $150-$250 per person. Some products may require higher deposit amounts. Deposit will be charged only when services are confirmed as per initial request. Taxes are always subject to change until final payment has been made. If services and prices are confirmed as requested and the client cancels there will be a $200 cancellation fee plus loss of deposit. There will be a $50 rush booking fee for travel requests made within 7 days of departure.
FINAL PAYMENT FOR TOUR PACKAGES:
Generally, final payment is due 45-60 days prior to date of departure however some tour operator and resorts offer Early Booking Bonus when paid in full at an earlier date. Bookings within 45-60 days of departure are subject to immediate payment following confirmation. All payments for bookings within 45-60 days of departure must be paid by credit card only. Our agents will advise when products require payment earlier. It is the clients responsibility to ensure full payment is received by the deadline as specified on your invoice. Failure to do so may result in a cancellation with the standard cancellation penalties being your responsibility. No travel documents will be released until payment has been received and processed in full, including all group bookings.
CHANGES AND CANCELLATIONS FOR TRAVEL PACKAGES:
For a confirmed booking any change after confirmation has a fee of $50. If the change results in a cancellation of previously confirmed services, then the following cancellation penalties will apply. If cancellation is received in writing by Romantic Planet Vacations at least 60 days prior to departure, a full refund will be made, minus a $200.00 administrative charge and the loss of the non-refundable deposit. For cancellations received within 21-59 days of departure a 50% cancellation penalty will be imposed. No refunds will be made 20 days or less prior to departure. Some packages are non-refundable. Different cancellation penalties may apply during holiday periods and/or for group bookings. Hotels, airlines or other suppliers may have stricter cancellation penalties than those described above. In those cases, the customer will pay the penalties the suppliers impose to us. We strongly recommend that you purchase trip cancellation insurance to cover such cancellation fees. Please consult with us about travel insurance packages available. Please note that all claims for reimbursement from the insurance company must be sent to them directly and claim approval or denial is completely at their discretion and we cannot be held liable for their decision. In general their coverages are for medical reasons only for any non-pre-existing medical conditions (unless a medical questionaire is filled out and sent to the insurance company prior to the purchase of the policy.) Please contact TIPS Travel Insurance for more information. Please note that Group bookings have additional terms and conditions. If a group should cancel in full, a $500 group cancellation fee will apply plus any applicable losses as detailed above including loss of deposits etc.
AIR TICKETS SPECIAL CONDITIONS:
Some airfares used for your travel itinerary may have to be ticketed by a date before your final payment for your package is due. For those, we must receive payment before we issue tickets.
Please note that ALL deposits are fully 100% NON-REFUNDABLE. Cancellation or name change once ticket has been issued depends on the airlines rules and policies. Special cancellation rules apply during Holiday Season. All cancellations must be in writing. Group reservations have their own Terms and Conditions, which will be sent to you at time of booking but remain the same that all deposits are 100% NON-REFUNDABLE once processed.
Any claims for refunds must be made IN WRITING within 30 days of scheduled return. All negotiable vouchers and/or air tickets must accompany the claim. No refunds will be made for features included in our itineraries that travelers chose not to take part in. No refunds will be made for missing transfers or sightseeing tours due to changes or delays in airline schedules. Romantic Planet Vacations. will not refund any money for changes in travel arrangements made by the traveler after the departure date. Any service issue affecting the quality of the guest’s hotel stay must be addressed directly with the hotel’s management at the time the issue arises since refunds cannot be given for such inconveniences. We cannot control what properties charge at any time and therefore cannot guarantee our fares will always be lower. There are no refunds for perceived overcharges. No guarantees or warranties, express or implied, are made that the travel package will meet all of the traveler’s expectations.
- Airport departure or entry taxes. Passengers must pay in cash on location.
- Documentation: All travel documents are the responsibility of the passenger. A valid passport is required in most cases.
- Some vaccinations may be required.
- Additional expenses such as laundry, alcoholic beverages, excess baggage charges, baggage insurance, meals (except as indicated in itineraries) or items of a personal nature.
- Hotel bellmen and chambermaid service.
- Tips and gratuities of any kind.
CHOICE OF LAW AND VENUE:
All questions of law in any action based upon any claim of breach of this agreement shall be determined in accordance with the laws in the city of Burlington, of the Province of Ontario, Canada as existing at the time of such action. Any action brought by either party based on any claim arising under or as a result of this contract or based on the travel package of which it is a part, shall be brought in a court of competent jurisdiction in the Province of Ontario.
Romantic Planet Vacations acts only as a third party consulting agent in regards to travel, whether by air, rail, automobile, bus, van, plane, boat, accommodations, restaurant or any other conveyance, and assumes no liability for injury, damage, loss, accident, death, property damage, inconveniences, delay or irregularity, which may be caused due to defect, change, negligence, contract, tort, strict liability, consumer protection statuses, or otherwise of any vehicle, facility, acts of God, war, riots, or for any company or person involved in conveying the passenger or in carrying out arrangements or services of the tour or travel package. We cannot accept any responsibility for losses or additional expenses due to delay or changes in schedules or other causes such as strikes. All such losses will be the responsibility of the passenger. The right is reserved to make minor adjustments in the itinerary. The right is reserved to cancel any tour prior to departure, in which case a full refund will constitute a full settlement of all liability. Romantic Planet Vacations is not responsible for any lost or damaged luggage before, during or after the tour program. The right is reserved to decline, to accept, or retain any passenger as a member of the tour program. The issuance of vouchers or tickets shall be deemed to be consent to the above conditions. The airline concerned is not to be held liable for any act, omission, or event during the time passenger are not on board their craft. The services of any IATA or ARC carrier may be used in conjunction with these tours. The passenger’s tickets when issued shall constitute the sole contract between the airlines or tour operator and the purchaser and/or passenger. All rates published in any venue are based on exchange rates and tariffs and are subject to change. All hotel descriptions reflect the most updated information provided by the property at time of printing. Romantic Planet Vacations cannot be held responsible for the condition of accommodations. It is the responsibility of the passenger to re-check flight schedules, weather, renovations and other uncontrolled situations that may affect their trip. There may be charges applicable for some amenities listed in these descriptions, and availability may vary by season. In these instances, Romantic Planet Vacations Inc. is not responsible for any charges incurred by the traveler in utilizing such amenities and cannot be responsible for the availability and/or accessibility of any and all facilities and services at time of stay. All taxes, gratuities and porterage charges are subject to deletions, additions or changes without notice. These items are not covered under the control of Romantic Planet Vacations, since changes in Government regulations and labor agreements cannot always be anticipated in advance.
